Booking Terms and Conditions:

Virginia Lake Caravan Park is a family touring park catering for caravans, tents, trailer tents, ARV'S and motor homes. Our guests enjoyment and safety is paramount and therefore we ask you to read the following terms and conditions before making your booking.

We reserve the right to ask guests who contravene these terms and conditions or, who in any other way are behaving in a manner likely to cause distress or nuisance to other visitors, to leave the park immediately. In these circumstances the holiday ceases and we shall not be liable to refund any monies paid or for any extra costs incurred by you.


We strongly recommend that you have holiday insurance. Your insurance should cover all risks including cancellation, accident, breakdown, loss or damage to personal property.


Neither Virginia Lake Caravan Park, Griib & Son nor the owners shall be held responsible or liable for any loss or damage suffered by you or members of you party.

Booking Conditions.
Although all are welcome, We reserve the right to refuse any booking. Bookings can be made in person or by telephone.

The person who makes the booking is responsible for the booking and warrants that they are over 18 years of age and that their requirements are correct at the time of booking.


The stay is strictly for holiday use only and no 'right to remain' exsist for the guest or anyone in their party.

A deposit is required to confirm a booking, and all Bank Holiday bookings must be paid in full a minimum of 2 weeks prior to arrival.


Website Accuracy.

Whilst every care is taken to ensure that all of the details in this website, including any promotional emails and offers, are correct at time of being published, we cannot accept responsibility for errors contained therein or results thereof. We are not responsible to you for unforeseen events or matters over which we have no control.
While we do our best to ensure that all of the information is up to date and accurate, very occasionally some advertised short breaks, offers or site facilities and provisions may not always be available on some or all the dates advertised. Please enquire when booking.

The Property Description.
We make every effort to describe all properties, provisions and facilities as accurately as possible, and to keep information up-to-date, and work closely with owners to ensure this. Details are given in good faith and we cannot accept responsibility or liability for differences or for any disappointment caused where a guest has differing expectations to those detailed in the description.

Standards.
We take pride in our caravan and campsite, and maintain facilities to a high standard, however sometimes things do break down or malfunction. Please let us know straight away, by phone, text or email if something isn’t working, and we will make every effort to sort it out straight away.


The Price of the Holiday.

Once you have made your booking and paid in full or paid a deposit on your stay, the price of the holiday will not be subject to any change unless you bring anything extra e.g. another person. The balance of the price of your holiday must be paid upon arrival at the camping park.

Cancellation of the Holiday by You.
You may transfer your holidays full payment, or the deposit paid to another alternative date should you need to amend, or cancel your original holiday at any time, up until 7 days before the date of arrival. All monies paid are non refundable. Cancellations made with less then 7 days notice will not be automatically eligible for holiday postponements or rescheduling, but will be at the managements discretion and subject to date availability. Any cancellation will be effective on the date it is received by us. Cancellations are required in writing, by letter or by email. Deposits and payments are non-refundable.

Change or Cancellation of the Holiday by Us.
If we are unable to provide the booked holiday and have therefore had to cancel or amend the booking before the holiday it is due to start, you are entitled to choose alternative holiday dates. Except for where the cancellation or change arise from an unforeseeable or unusual occurrence outside our control as described in the next section, we will endeavour to arrange an alternative date for your stay.

Unforseeable or unusual occurrences beyond our control include but are not limited to: utilities failures, i.e. electricity/water, extreme weather conditions, acts of terrosim and war and acts of God.


Booking.

Please check all personal details at the time of booking. We cannot take responsibility for incorrect booking or personal information. In the event of an unsuccessful payment we reserve the right to cancel your holiday if payment is not received on time.
All communications are made either in person, over the telephone or sent via an automatic email server and rely on a valid email address and contact telephone number being supplied. We cannot take responsibility for loss of communication e.g. booking confirmation emails etc. if contact information is incorrect or not updated as necessary. We do not email booking confirmations as standard and will only do so on request.

How to Pay.
All payments need to be made in pounds sterling.
At the time of booking you can either:
Pay in full
Or, as long as the start of your holiday is more than 28 days away and does not include any Bank holiday dates pay a deposit. We regret that it is not possible to send a reminder. Failure to pay the full balance by the due date may be treated as a cancellation.
Payment for your holiday is by bank transfer, debit/credit card or cash (pound sterling only).

Communicating with you.
We carry out most communication with you by email. We tend to telephone only in emergency or if we can’t get you by email. We’ll keep your details on record, but only basic information will be passed on to on-site staff (name and emergency phone number). We promise never to pass information on to other companies. We will only email offers and updates about Virginia Lake Caravan Park a few times a year, and of course we’ll take you straight off our mailing list if you ask us to.

Holiday Behaviour Standards and Termination.
By making a booking with us you have entered a contract in which you undertake, on behalf of yourself and the people in your party (including children), to adopt the following standards of behaviour:
To act in a courteous and considerate manner towards us, our staff and other guests.
To supervise children properly so that they are not a nuisance or danger to themselves or others.
All personal belongings and property are left at the owners risk
You further agree that you will not:
o         Commit any criminal offence at the Park or undertake any criminal activity.
o         Commit any acts of vandalism or nuisance.
o         Keep or carry any firearm (unless stored in our secure gun safes) or any other weapon at the Park.
o         Use unlawful drugs.
o         Create any undue noise or disturbance.
o         Carry on any trade or business while on the Park.
o         Not start-up or drive motorised vehicles between the hours of 10pm and 7am
o         Park any additional vehicles to the one permitted with each pitch booking in the hardstanding area of the site.
o         Park any vehicle to the sides of the site entrance if arriving after the entrance gates have been closed and secured.
o         Park any vehicle to the sides of the site entrance if departure is required prior to the entrance gates being opened daily.
o         Quiet hours are from 10pm until 7am. Please respect your fellow guests and keep noise to a minimum.

Health and Safety and Security.
We take the wellbeing and safety of our guests very seriously and we ask that you comply with the following:
The speed limit on the park is 5 mph.
All vehicles must conform to the Road Traffic Act and have current tax, MOT and insurance. The provisions of the Highway Code apply to the roads on the park.
No recreational vehicles can be used on the park. This includes motorised scooters.
No ball games near any caravan or tents etc. - ball games can be played on the middle grass section only which is adjacent to the playarea, trim trail and climbing tree trunks.

Children must not be allowed to play in or around the facilities blocks or in the park entrance, and must be supervised at all times.
The use of and or flying of Drones or any similar equipment is strictly prohibited.


Please make yourself aware of the nearest fire point.

Dogs and other Pets.

If you bring your dog with you when you stay with us we ask that you:

Keep your dog on a short lead on the park at all times
Clean up after your dog.

Keep your pet away from the children's playarea, trim trail, ball games area and climbing tree trunks.
Do not leave your dog unattended at any time.

We reserve the right to require that the owner removes their dog, or any other pet from the park if it is a nuisance or danger to other guests, or if the pet handler fails to clean up after the pet.

General Rules.
Fires are not permitted. Ground level barbeques are only permitted if they are raised off the ground with bricks or other suitable materials. Please ask for bricks to support your barbeques etc.

No hot ashes are to be placed in bins.

Cutting or damaging trees and other vegetation is strictly prohibited and the natural conditions are not to be disturbed. This includes tying ropes to, or driving nails into trees.

Please note that you may be able to extend your stay beyond the dates booked if there space is available, but there is no guarantee that the same pitch will be available.

It is regretted that no refunds can be given if guests depart prior to the end of the booked holiday, unless they do so as the result of the breach of some obligation on our part which would justify cancelling the holiday.
 
The information supplied to us upon booking will only be used for administrative purposes.

Pitches.
The size of your unit, including any tents, must be stipulated at the time of booking to ensure that the allocated pitch is large enough. Should you subsequently alter your requirements we cannot guarantee to provide an appropriately sized pitch.

Please advise us if you are likely to arrive later than 8pm.

If we have not heard from you 24 hours after your expected arrival we reserve the right to re-let your pitch.
We try and accommodate late departures and early arrivals where possible but this must be arranged with management.

All pitches are usually to be vacated by 12 Midday (unless agreed otherwise) on the day of your departure.

Bank-Holidays.
All Bankholiday weekend bookings must be for a minimum of 3 nights from the Friday (or earlier).




If you have a problem please report it immediately to management so it can be dealt with promptly whilst you are still staying with us.


The management reserve the right to refuse entry and any person not abiding by the rules or creating a nuisance to other guests and will have to leave immediately.
